Seminar Policies

Seminars with nationally known travel teachers are sponsored by the Chapter for the purpose of providing members opportunities for high quality education in decorative painting.  These policies have been developed by the Board to facilitate the planning of these seminars and provide guidance for questions and issues that may arise prior to, during, and after the seminars. 

Responsibility:  The Second Vice President or appointed chairperson acts as the Seminar Chairperson and has overall responsibility for seminars.  She contacts potential teachers and obtains information on cost, availability, teaching style, and any special requirements or limitations; negotiates a contract with the teacher after the Chapter votes to engage that particular teacher; and arranges for lunches, material, supplies, and overhead projection if needed. 

Selection of the Teachers:  The choice of teacher will be voted on by the general Chapter membership at a Chapter meeting after recommendations from the Board have been given.  Suggestions from members are welcomed.  As a courtesy, members should not vote for a seminar if they do not plan to attend.  Preference will be given to teachers who do not limit registration to 25 participants unless the projects they would teach are amendable to two one-day seminars or a one-day and a two-day seminar. 

Selection of Projects Potential projects proposed by the teacher will be reviewed by the Board, which may eliminate some based on factors such as complexity, cost, or style.  Photos of projects will be displayed and voted upon by the membership at a Chapter meeting if applicable. 

Surfaces, Supplies, and Paint:  Members will provide their own surfaces. If members choose to make any changes to the project, they should not expect the teacher to spend extra time working with them.  Some teachers may provide needed paints for the seminar.  Leftover paint may be divided among the seminar participants at the discretion of the teacher.  Members must come to seminars with required materials and supplies.

Attendance:  In those circumstances where an insufficient number of members sign up for a seminar, the Board may elect to open the seminar to non-members.  The seminar paid for with Chapter funds will be opened to non-members who reimburse the Chapter for the amount for the seminar. 

Seminar Registration:  Registrations will be accepted on a first-come, first-served basis through the mail or in an envelope at a General Meeting.  Members must complete the registration form, which will be published in the newsletter, and include the full amount and e-mail address with their registration form.  A confirmation will be sent to you if you include an e-mail address or a self-addressed, stamped envelope.  When the seminar is full, a waiting list will be established.  You will be notified if you are on that list.  Payment in full will be required on a specified date. 

Members who cancel will not receive a refund. The member who cancels may sell their slot to another member. If another member fills their slot, the member who cancels,  must forfeit the surfaces ordered for the seminar unless extra pieces have been ordered.  Members who cancel after surfaces have been ordered, and no one fills their slot, will not be reimbursed. 

Seminar Host:  The Second Vice President is the Chapter’s representative and saves the Chapter funds by transporting and housing the teacher. In most instances, a group dinner will be planned by the Chapter for the teacher and members attending the seminar.  If there is no group dinner planned, and the host takes the teacher out to dinner, the Chapter will reimburse the teacher’s dinner.

Seminar Schedule:  Unless otherwise notified, all seminars will begin at 9 am.  Members should be set up and ready to start on time.  Breaks will be announced and members should be prepared to return and resume the seminar as requested.  Members must be considerate of the teacher and others and limit visiting and chatting to lunch breaks or outside of the room.  As a courtesy to the teacher, members are strongly urged to stay throughout each entire day.  If you must depart early, please sit at the back and notify the teacher.

Business Meetings:  Except under unusual circumstances, there will be no business meetings at seminars.

Sale of Items:  Local teachers are welcome to bring and display their upcoming class projects along with a signup sheet and  payment envelope. Displays should be located where the members can view the projects, signup and provide payment as long as they do not distract the teacher or the seminar activities.

Photo Permission/Policies The teacher must give permission before any photos or videos are taken of her.  This also includes her painted piece.  Once permission has been given, photos may be taken during the class as long as they do not distract the teacher or obstruct the student’s view of the piece being painted.

Modifying Seminar Policies:  Seminar policies may be modified at any time by a member submitting a proposed change in writing to the President for the Board’s consideration.  Upon approval by a majority of the Board, the policy will be presented to the membership for a vote by a quorum.
